Privacy Policy

How MemberHelm handles the information members and associations share with us.

Last revised September 29, 2026

Who we are

MemberHelm is a membership platform and mobile app operated by AppSpun ("AppSpun," "we," "us"). Professional and trade associations use MemberHelm to run their membership, and their members use the MemberHelm app and website to reach their association. This policy covers the MemberHelm app (iOS and Android), memberhelm.com, and app.memberhelm.com.

Each association is responsible for its own membership records and its own privacy practices. When you use MemberHelm as a member of an association, that association decides what information it collects from you and why; AppSpun processes that information on the association's behalf to run the platform. Your association's own privacy policy also applies.

Information we collect

Membership records. When you or your organization join or renew with an association, the association records the organization name, the names and contact details of its representatives (name, title, email, phone, mailing address), the details used to set the membership level, and the history of dues invoices and payments.

Account. To sign in, we hold your email address, a securely hashed password, and an account identifier. Signing in on the app records which association(s) your login belongs to so the app can open as that association.

Payments. Dues, registrations and other payments are processed by Stripe. Card numbers are entered on Stripe's secure checkout and are never seen or stored by AppSpun or the association. We keep a record of the amount, date and method of each payment.

Things you add. Members who sign in may update their profile, join committees, post in community features, send messages, upload photos or documents, and register for events. What you post in member-only features is visible to other signed-in members of that association.

Advocacy. Where an association runs advocacy campaigns and you choose to take part, we record your participation and, when you ask us to, use your name, organization and address to identify and contact your elected officials on your behalf.

Automatically. Like most online services we receive standard technical information such as IP address, device and browser type, and the pages or screens used. We use a sign-in token to keep you logged in. We do not use advertising trackers, and we do not sell or rent personal information to anyone.

How we use information

  • To manage memberships, send dues invoices and renewal reminders, and keep association records.
  • To let your association communicate with you about its programs, events and business.
  • To run the member portal, directory, messages and committees.
  • To respond to questions sent through contact forms.
  • To keep the service secure and to meet legal and financial record-keeping obligations.

Who we share it with

Your information is shared with the association you belong to, which owns its membership records. Beyond that we share information only with the service providers that run the platform, and only for that purpose: Stripe (payments), Resend (email delivery), Google Cloud / Firebase (hosting, authentication and secure data storage), and, where an association uses it, ExpoHelm (conference registration and continuing-education records). Member contact details appear in an association's member directory, which is visible only to that association's signed-in members. We may disclose information when required by law. We do not sell personal information.

Email and notifications

Members receive email from their association about dues, events and news. Every campaign email includes an unsubscribe link; you may opt out of any topic without affecting your membership. Transactional messages such as invoices, password resets and receipts are sent as needed. If push notifications are offered in the app, they are off until you turn them on and can be turned off in your device settings.

Your choices

Signed-in members can update their profile and contact details at any time. You can delete your MemberHelm account from inside the app (More → Delete My Account) or by writing to us; deleting your account removes your login and the profile data you added, while the association's membership and payment records are kept for the period the association or the law requires. To correct, export or delete information, or to ask a question about this policy, email privacy@memberhelm.com.

Security

Information is stored on Google Cloud with access limited by role to the association's administrators and to AppSpun staff who support the platform. Data is encrypted in transit and at rest. No method of storage is perfectly secure, and we will notify affected members and associations if we learn of a breach involving their information.

Children

MemberHelm is intended for adults who belong to professional and trade associations. We do not knowingly collect information from anyone under 18.

Changes

We may update this policy from time to time. The date at the top of this page shows when it was last revised, and material changes will be announced to associations and members by email or in the app.
